Refund and cancellation policy

This policy applies to paid Zovibot subscriptions bought from Modulery Technologies. It forms part of our terms of service.
The short version
- Cancel whenever you like. You keep the plan until the period you paid for ends.
- Your first payment on a new subscription is refundable, in full, if you ask within 14 days and have used little of the month’s conversation allowance.
- A billing mistake — a double charge, a charge after cancelling — is refunded in full.
- Unused time on a period you have already paid for is not otherwise refunded.
There is no free tier, so the first payment is refundable
Zovibot is paid-only. A new account gets a small setup allowance — enough to install the widget and ask your own site a few questions — but answering your visitors needs a subscription. There is no free plan to sit on and no trial to expire.
That means you are asked to pay before you have seen the assistant handle real traffic, and it would not be reasonable for us to then refuse a refund because you had “changed your mind”. So the first charge on a new subscription is refundable in full for 14 days, provided you have not consumed most of the month’s conversations. One month of Core is not a large sum, but it is not ours to keep if the product did not do what you expected.
This applies to the first payment only. Later renewals are covered by the cases below.
Cancelling
Cancel from Billing in your dashboard at any time. No email required, no retention call.
- Cancellation takes effect at the end of the period you have already paid for. You keep every feature of the plan until then — we do not withdraw them the moment you click cancel.
- After that the account has no subscription. It is not closed and nothing is deleted.
- The assistant stops answering visitors, because answering them is what a subscription pays for. Your knowledge base, conversations and leads stay exactly where they are.
- Your knowledge base, conversations and leads remain available to export. If you want them gone as well, delete the site or the organisation — see the privacy policy for what deletion removes.
What we refund in full
- Your first payment on a new subscription, within 14 days, if most of the month’s conversation allowance is unused. No reason needed.
- Duplicate or repeated charges. Charged twice for the same period, for any reason.
- A charge after you cancelled. If a renewal is taken after a valid cancellation, we refund it and do not ask you to justify it.
- A charge you did not authorise. Tell us and we will refund it and secure the account.
- A plan you could not use at all. If a paid plan was unusable from the start because of a fault on our side and we could not fix it, we refund the payment rather than crediting it.
What we may refund in part
If the service failed materially for a sustained period during a paid month — the assistant unable to answer, ingestion unable to run — and we could not resolve it, we will refund a proportion of that period reflecting the time lost. We would rather do this than argue about an SLA we did not sell you.
What we do not refund
- Unused time on a period already paid for. Cancelling mid-month does not produce a pro-rata refund; you keep the plan for the rest of the month instead.
- Usage already served. Conversations answered, pages indexed and embeddings generated cost us money at the moment they happen.
- A change of mind on a renewal. The refundable-first-payment window covers the decision to subscribe; a month you have already had the service for is not covered.
- Downgrades mid-period. The lower limits apply immediately, and the difference is not refunded — downgrade at the end of a period to avoid this.
- Answer quality alone. The assistant answers from the content you give it. If your pages do not cover something, it will say so rather than invent an answer, and that is the product working. Talk to us instead — usually the fix is in what has been indexed.
- Suspension for breach of the terms. An account closed for abuse, crawling sites you do not control, or non-payment is not refunded.
How to ask for a refund
- Email privacy@leadfella.com from the address on the account.
- Include the charge date, the amount, and one sentence on which of the cases above applies. You do not need the payment reference — we can find it — but it speeds things up.
- We reply within 3 working days, and decide within 7 working days.
- Approved refunds go back to the original payment method. We cannot send a refund anywhere else — that restriction is our payment provider’s and it exists to prevent fraud.
Once we issue it, the money typically reaches you in 5–10 working days. The exact timing is set by your bank or card issuer rather than by us; for UPI and net banking it is usually faster, for international cards sometimes slower.
Please ask us before raising a chargeback
A chargeback freezes the payment for weeks and locks the account while the provider investigates, which is slower than us simply refunding you. If something has gone wrong with a charge, email us first. We would rather refund a payment than defend one.
Failed renewals
If a renewal payment fails we do not cut the assistant off your website immediately. The payment provider retries, and we keep the plan running while it does, because a live assistant going silent over an expired card is your problem before it is ours. If the retries are exhausted the subscription lapses and the assistant stops answering visitors. Nothing is deleted.
Taxes
Prices are exclusive of tax unless stated otherwise. Where tax was charged, a refund includes the tax on the refunded amount.
Changes to this policy
We may update this page. A change never applies retrospectively to a payment already taken: the version in force on the day you were charged is the one that governs that charge.
